Terms of sale
These terms apply to every order placed through this site. They are written to be read before you pay a deposit, and they set out what happens if you cancel, what is refundable, and when risk passes to you.
1. Who we are
“We”, “us” and “BOTHAUS” mean the seller operating bot.vhdpve.com, a robotics distributor and integrator based in Austin, Texas, United States. “You” means the business or individual placing the order.
By placing an order you accept these terms, together with the quotation or pro-forma invoice we send you. If the two differ, the signed quotation prevails over this page. These terms apply to business buyers; if you are a consumer, your statutory rights are not affected and are summarised in section 6.
2. Orders and acceptance
An order placed on the site is an offer to buy, not a concluded contract. A contract is formed when we confirm the order by email, or when we issue the pro-forma invoice — whichever happens first.
Before that point we may decline or cancel an order, and we will refund anything already paid, if:
- the unit or configuration is no longer available, or the price on the site was clearly wrong;
- we cannot verify the buyer, the delivery address or the payment instrument;
- the destination or the end use is restricted by export-control or sanctions rules;
- the order appears fraudulent or was placed by a bot.
Order numbers are issued when the order is stored. Store yours: it is the reference we use for payment, freight and support.
3. Prices, tax and freight
All prices are in US dollars and exclude sales tax, VAT, GST and import duties unless the page says otherwise. Where we are required to collect tax, it is added at checkout or shown on the invoice.
Freight is quoted as a separate line. The options shown at checkout correspond to real services: standard freight (insured, liftgate included), priority air, or collection in Austin. Import duties, customs clearance and any local taxes at destination are payable by you unless the quotation states DDP.
A configuration change after the order is confirmed may change the price and the lead time; we will send a revised quotation and will not charge the difference without your written approval.
4. Payment
For orders above the deposit threshold, we take an online deposit (the percentage is shown on the checkout page and on the invoice — currently 5%) and the balance before dispatch. Smaller orders, such as spare parts and consumables, may be paid in full online.
- Card — processed by Stripe on its hosted checkout page. Card details are entered there, never on our servers.
- PayPal — you approve the payment on PayPal, and we capture it immediately on return to the site.
- Wire transfer — bank details are issued on the invoice; the unit is released once funds clear.
- Company invoice — net 30 only after credit approval, at our discretion.
We do not start production, configuration or dispatch until the deposit (or the full amount) has cleared. The balance is due before dispatch; if it is not paid within 30 days of the ready-for-dispatch notice we may cancel the order under section 6.
5. Delivery and risk
Lead times quoted on the site, in email or on the invoice are estimates, not guarantees. We confirm the slot when the deposit clears and keep you informed if it moves.
Unless the quotation says otherwise, delivery is DAP to the address on the order: risk passes to you when the unit is handed over at that address. Title passes when we have received payment in full.
Inspect the crate before signing for it. If the packaging is damaged, note it on the carrier’s document and photograph it, then tell us within 5 business days so we can file the insurance claim. Concealed damage reported later is harder to prove and may not be covered.
6. Cancellation and refunds
Before the unit is configured or dispatched
- You may cancel at any time and we refund the deposit in full within 10 business days of the request.
- Any payment-processing fee we were actually charged (for example the non-refundable part of a card or PayPal fee) is deducted from the refund.
After production or configuration has started
- Units built or configured to your specification — a specific model, colour, payload, software image or commissioning — carry a non-refundable deposit once work has begun, because the machine cannot be resold as new. We will tell you in writing when production starts.
- Standard, unmodified units can still be cancelled for a refund of the deposit, less any freight already booked and any bank charges we have incurred.
If we cancel
- If we cannot deliver — because of stock, allocation, export-control refusal or a pricing error — you get everything you paid back in full, including any processing fee, and no substitute obligation.
- If the balance is not paid within 30 days of the ready-for-dispatch notice, we may cancel and retain the deposit against the costs already incurred.
How refunds are paid
Refunds go back to the original payment method — the card, the PayPal account or the bank account the money came from. A card refund usually appears within 5–10 business days depending on your bank; a wire refund is sent within 10 business days of the request. Refunds are always processed in USD at the amount we received; exchange-rate differences applied by your bank are outside our control.
Consumers in the EU and UK
If you are a consumer rather than a business, you have a statutory right to withdraw within 14 days of delivery. Where the unit was configured to your specification, the statutory made-to-order exception may apply; we will always tell you before you order whether it does.
7. Returns and damaged units
Returns are accepted only with a return authorisation (RMA) issued by us. Write to support@bothaus.com with the order number, photographs and a description of the problem; we answer within 2 business days.
- Dead on arrival or damaged in transit — reported within 5 business days, we repair, replace or refund at our option, and we cover the return freight.
- Changed your mind, unit unused — within 14 days of delivery, in the original crate with all accessories, subject to RMA approval; return freight and insurance are yours and a 15% restocking fee applies.
- Not returnable — units that have been operated outdoors or in a way that contradicts the manual, units with removed or altered serial numbers, made-to-order configurations, consumables, and downloadable software licences.
Do not ship anything back before the RMA is issued: an unannounced return arrives without insurance cover and we cannot accept it.
8. Warranty
New units carry a 24-month hardware warranty from delivery, covering manufacturing defects, unless the quotation states otherwise. Wear parts, batteries beyond their rated cycles, damage from misuse or from integration work carried out by others, and damage from unauthorised firmware or hardware modification are excluded.
The remedy is repair or replacement at our option, carried out by us or by the manufacturer. Warranty service is provided remotely where possible; if the unit has to come back, we agree the freight with you in advance. Extending the warranty or adding on-site cover is available as a separate agreement.
9. Software, safety and operator training
Firmware and software supplied with a unit are licensed, not sold, under the manufacturer’s licence terms and must be used on that unit only.
The machines we sell are industrial equipment. Integrating one into a workplace — risk assessment, guarding, emergency stops, floor markings, insurance — is the responsibility of the operator, as is training everyone who works near it. Nothing on this site is safety advice for your site.
Our robots are not toys and are not intended for use by children, for lifting people, or for medical, weapons or life-support applications.
10. Export control and sanctions
Some configurations are dual-use goods. Before dispatch we may ask for an end-user statement and proof of destination. We will not ship to a sanctioned country, entity or individual, and we may refuse or cancel an order where a licence is required and not granted. In that case any amount paid is refunded in full.
You confirm that you are not subject to sanctions and that the unit will not be re-exported in breach of applicable export-control law.
11. Liability
To the extent the law allows, our total liability in connection with an order is limited to the amount you paid for that order. We are not liable for indirect or consequential loss, loss of profit, loss of production, loss of data, or damage to property or equipment caused by integration, by operation outside the manual, or by third-party software.
Nothing in these terms excludes liability that cannot lawfully be excluded — including death or personal injury caused by our negligence, fraud, or your statutory consumer rights.
12. Law and disputes
These terms are governed by the laws of the State of Texas, United States, excluding its conflict-of-law rules and the UN Convention on Contracts for the International Sale of Goods. The state and federal courts sitting in Travis County, Texas, have exclusive jurisdiction, subject to any mandatory consumer protection in your country of residence.
Before any formal step, write to us: most disputes are a shipping date or an invoice line, and a short exchange fixes them. We respond to a written complaint within 5 business days.
Force majeure: neither party is liable for delay caused by events beyond its reasonable control — carrier failure, port congestion, customs holds, component shortages, natural events, or government action — provided the affected party notifies the other promptly.
